JOB SUMMARY
The Imaging Access Program Coordinator is responsible for streamlining and standardizing operational workflows within the Imaging scheduling processes. This role focuses on centralizing communication, improving quality assurance processes, facilitating cross-training initiatives, assisting with onboarding and training new hires, applying Lean Six Sigma methodologies, and monitoring team performance to optimize efficiency and patient experience.

JOB DUTIES

• Collaborate with the IR scheduling team to analyze and improve current scheduling processes.
• Utilize Lean Six Sigma tools such as process mapping, fishbone diagrams, and root cause analysis to identify inefficiencies and develop effective solutions.
• Develop and implement standardized workflows to ensure consistency and operational excellence.
• Create and maintain a centralized SharePoint site to store all relevant scheduling information, documentation, and tip sheets, reducing reliance on emails and individual reps for updates.
• Conduct regular QA calls to monitor patient scheduling interactions and ensure calls are handled appropriately.
• Review data and reports related to scheduling calls to ensure representatives are adhering to established call metrics and standards.
• Audit staff messages and emails to verify appropriate turnaround times and quality of communication are met.
• Identify trends or issues in call handling or communication and work with the team to implement corrective actions.
• Assist with the training and onboarding of all new hires within the Imaging scheduling team.
• Create, update, and maintain comprehensive training materials and documentation.
• Develop and facilitate cross-training programs to build versatile scheduling skills across divisions.
• Track training progress and provide support to new employees to ensure smooth integration.
• Participate in and lead various operational improvement projects for the Imaging scheduling team using Lean Six Sigma principles.
• Gather feedback, analyze workflow data, and propose innovative solutions to increase team productivity and patient satisfaction.
• Serve as a liaison between scheduling representatives and management to communicate updates and changes effectively.
• Maintain up-to-date documentation for all workflows, training materials, QA processes, audit findings, and process improvement initiatives.
• Communicate clearly and regularly with team members to ensure alignment on goals and updates.
