JOB SUMMARY
The Grants and Contracts Specialist Lead is responsible for overseeing the administration and management of grants and contracts, ensuring compliance with all regulatory requirements, policies, and procedures. This role will provide mentorship to a team of specialists while also providing administrative support to researchers by identifying funding opportunities, assisting with preparation and processing of proposals, negotiating contracts, receiving awards, and assisting in administration. It is anticipated that this role will collaborate closely with Sponsored Programs Administration (SPA) throughout the life cycle and will require completion of SPA training modules and participation in other educational offerings.

EXPERIENCE AND EDUCATION
Required

Bachelor’s Degree in Business Administration, Public Administration, or related field.
- Experience
5 years expereince in business or public administration
Applicants without the stated degree, but with significant additional professional applicable experience may be considered in lieu of education requirement.
JOB DUTIES
- Mentorship:
- Mentor a team of Grants and Contracts Specialists, providing guidance, and training.
- Develop and implement strategies for the efficient and effective management of grants and contracts.
- Coordinate workflows, ensuring that deadlines are met, and standards of quality and accuracy are maintained.
- Grant & Contract Management:
- Oversee the full lifecycle of grants and contracts, from proposal preparation through to closeout.
- Review and approve budgets, financial reports, and documentation for grant and contract applications and submissions.
- Ensure that all grants and contracts comply with relevant federal, state, and institutional regulations, as well as donor or sponsor requirements.
- Assist the PI to negotiate scope of work and/or budget with sponsors, ensuring the organization’s best interests are represented.
- Compliance & Regulatory Oversight:
- Monitor compliance with funding agency guidelines, organizational policies, and federal/state regulations.
- Ensure timely submission of progress reports, financial reports, and other required documentation to funding sources.
- Stay current with changes in federal regulations, funding opportunities, and industry best practices, and communicate relevant updates to staff and stakeholders.
- Financial Oversight:
- Oversee the financial aspects of grants and contracts, including and not limited to budget creation, assuring allocable and allowable expenditures, GL account and line item transaction review and reconciliation, determining and assuring transactional correcting entries.
- Work closely with other finance team members to monitor the financial health of all projects, with broad responsibility to manage and transactionally record expenditures, ensure timely recording of GL entries, including accruals, for accurate and complete financial reporting.
- Ensure subawards are timely completing deliverables and submitting respective invoices. Appropriately and allowably review and approve all invoices and payments related to grants and contracts.
- Collaboration & Stakeholder Engagement:
- Serve as the primary point of contact for internal teams, and work with SPA leadership to contact funding agencies and external partners regarding grants and contracts.
- Assist in identifying and pursuing new funding opportunities.
- Prepare and deliver reports, presentations, and briefings to senior leadership and stakeholders on the status and financial health of individual grants and contracts, and when presenting institutional level financial and programmatic information work with SPA and other central teams to obtain needed information and/or details.
- Ensure all externally reported information is reviewed and submitted via SPA and/or other responsible central teams.
- Continuous Improvement:
- Identify areas for process improvement and implement best practices for grants and contracts management.
- Develop and maintain training materials and resources for team members and other stakeholders.
- Participate in the development and refinement of organizational policies and procedures related to grants and contracts.
- Performs other duties as assigned.
